XRVR brought arena-scale VR to NinerCon at the Popp Martin Student Union in Charlotte, North Carolina. XRVR’s public announcement named the campus event and its February 7 date; the university’s event listing provides the organizer’s context.

Planning a similar campus event

A student union or campus venue brings the activity close to the audience. Before selecting an experience, confirm the usable floor area, load-in route, building access times, power, and who will coordinate with XRVR on the day. Leave space around the play area for staff, waiting participants, and people moving between activities.

For a convention-style program, decide whether VR will operate as a drop-in activity or through scheduled rotations. Share the participant age range and available event hours so XRVR can recommend an appropriate game selection and operating plan. A one-time campus activity can be discussed independently of a VRASEL league program.

Planning a similar festival activity

Start with the ground surface, available footprint, power, and vehicle access. An outdoor setup also needs a weather plan agreed with the organizer. The arena’s play area is only part of the space to consider: queueing, staff access, spectators, and nearby attractions all affect where the activity can operate.

Explain how visitors will take part and how the entertainment is funded. Organizer-funded access and public pay-to-play arrangements need different operating and commercial plans. XRVR can discuss the suitable experience, session format, staffing, and travel in your quote. Participant capacity depends on the selected game, session length, and event conditions.
