01 // PLANNINGStart with the campus occasion
A student activities day, club event, esports demonstration, or community program can each call for a different format. Tell us who the event is for, the expected attendance, and how much time students will have to participate. We will discuss suitable games and a manageable rotation plan.
02 // PLANNINGMatch the experience to the space
Arena-scale VR uses a shared mapped space, typically about 20 × 20 feet for a single arena, with additional room for staff and a queue. One or two room-scale stations can be considered for a more compact indoor setting. Outdoor and trailer options require a separate access, power, space, and weather review.
03 // PLANNINGCoordinate with the people responsible for the event
Before booking, identify your campus contact, venue rules, access times, participant age range, and supervision arrangements. Discuss any accessibility or participation questions with XRVR in advance so the event plan reflects the people attending. Requirements depend on the games and setup selected.
04 // PLANNINGExplore esports separately from a one-time event
If your goal includes a school esports program, visit the VRASEL information page or submit the coach interest form. A campus entertainment request does not enroll a school in a league. Program scope, timing, and any future commitments are discussed separately.
